Marketing Coordinator

 

Reporting to the Sales Director, the Marketing Coordinator is responsible to source, collate, write and win high value new and retained tenders for the company whilst raising the company's profile via exceptional quality tender submissions.  To professionally tailor the tenders to the requirements of each individual client by use of extensive market intelligence research, liaison with internal and external key stakeholders and project managing the bid process end to end on own initiative in a pressured deadline driven environment.

Key Tasks and Responsibilities:

This position requires effective capabilities to handle the following tasks and responsibilities:

  • Responsible for ensuring tenders are submitted consistently ahead of the deadlines set by the tendering authority or body.
  • To develop a knowledge base of the company that is second to none, with an ability to produce bids on all company products
  • To objectively appraise tender submissions, to add and edit information as necessary in order to structure an effective response.
  • Plan key stages of individual tender projects and allocate appropriate deadlines with follow ups to ensure these deadlines are adhered to both within and outside the Sales and Marketing department.
  • Check various Tender Search systems on a daily basis and identify any contracts which may be of interest to the Company, either to bid or for market intelligence purposes.
  • Supply Directors and Area Managers with relevant research and market intelligence information and give guidance with relevant strategy and pricing proposals.  Contribute to meetings involving Directors and Managers and being completely knowledgeable of the requirements for each tender.
  • Contribute as a team to the in depth analysis of the prospects key drivers and provide appropriate discriminators in order to add value and supply the most competitive and compliant bid.
  • Drafting of legally binding documentation is a key activity within the role. Each tender has to be as precise as possible as the company will be tied to provide everything that it sets out within the bid.
  • Gather technical data from internal departments and operational teams such as IT, Sales, Marketing, Finance, the Laboratory and Legal and interpreting this into layman"s terms in order to construct compelling and readable text ensuring that a visionary and bespoke solution is offered to the Customer(s).
  • Responsible for proofreading of created material and the work of other team members.  To provide constructive criticism on any areas that may need adjustment, working together to ensure a submission of the highest standard is achieved.
  • To provide technical and commercial writing skills, displaying creative flair in tender submissions.
  • To think laterally and contribute relevant ideas for developing tender submissions to the company’s advantage e.g. creating sales focused literature from sound market research in order to accurately portray the company’s strengths over its competitors.
  • Pro actively initiate the creation of company literature to ensure the company is in line with relevant legislation and best practice guidelines. Working alongside relevant departments to create Policies, Charters and Marketing material in a time sensitive manner.
  • To co-ordinate and set goals for staff both internally and externally to achieve desired results.  Setting of time sensitive tasks for members of staff at all levels within the company to produce work for the team in good time for the relevant document submission.  The allocation of work will be to all hierarchical levels of the organization.
  • Investigate the marketplace to enable positive comparison with competitors and ensure full compliance with each specific tender procedure to the best his/her ability.
  • Receive and deal with extensive enquiries from colleagues and Clients concerning Tenders both current and historically.
  • To create and maintain an effective and constantly evolving reference library.
  • Responsible for updating all spreadsheets, databases and company sales records and to produce reports on workload and achieved goals for both the team and for the board of directors when required.  To consistently and accurately update the CRM to enable relevant knowledge to be distributed company wide.
  • In conjunction with the Sales Director follow relevant procedures following the notice of tender award/loss to include information and market intelligence gathering. 
  • Contribute to required liaison with internal departments in order to provide tender responses to ensure all details reflect the tender offer precisely.
  • An ability to chair and take minutes at Tender Review Meetings as well as ensuring accurate up to date records are kept of all action points.

 Required Skills & Knowledge:

  •  Post-Secondary Degree or Diploma in Business, Engineering, English, Communications or a related field.
  • Two (2) years experience in a in a busy, continually pressured deadline driven working environment is essential as the role demands the ability to handle multiple submissions simultaneously with key task identification and prioritization.
  • A high level of proficiency and expertise with Microsoft Office and Adobe products
  • Experience of using databases, spreadsheets and the internet for reporting purposes.
  • To create professional documentation to a very high standard with particular focus on accuracy and care - spelling and grammar need to be of a particularly high standard.
  • Creativity is mandatory as is the drive to produce tailored documents that accurately portray and sell the company’s products and services.
  • The creation of bids involves the collation of a large amount of information and requires continued focus for long periods of time.
  • To show high levels of commitment and initiative to achieve the winning tender success of the company.
  • To adapt and source new information and data for bids is paramount.
  • Focus on sales techniques and an understanding of where the company’s advantages lie within the marketplace. Furthermore the post requires the written portrayal of the company to the highest professional standard.
  • Willingness to travel when required (<10%)
